Working file

Document the station you actually have.

Inventory the equipment, define what the station must do, build exact setup procedures, and record what has been physically tested.

Start with evidence, not assumptions.Open the cabinet, cart, case, or radio room. Record what is present. Build each procedure by touching the equipment and verifying every connection.

Readiness review

Specific issues that need attention before this documentation can be trusted.

Step 1

Identify the station

Describe the physical station, who owns the documentation, and the operating context. Keep it specific enough that another operator knows which station this record describes.

Step 2

Define operational capabilities

A capability is something the station can actually perform—not merely equipment it owns. Add only what the station is intended to provide.

Equipment does not prove capability.A capability remains a draft until its equipment, setup procedure, verification test, shutdown procedure, and known limitations are documented.

Step 3

Inventory what is present

Record enough detail to find, identify, connect, and replace an item. Serial numbers and purchase history are optional; functional details are not.

Step 4

Build packing lists and audit inventory

Create reusable checklists for go-kits, portable stations, carts, or deployment packages. Check what is packed, count what is actually present, and record shortages or condition problems.

Step 5

Build setup and shutdown procedures

Create one procedure for each capability. Make every step specific enough that a qualified operator unfamiliar with this station can safely set it up, operate it, and return it to ready condition.

Step 6

Test, record gaps, and assign work

Field testing is what separates a plausible document from a trustworthy one. Record what worked, what failed, and what must be corrected.

Capability test status

Update status only after the procedure has been performed.

Open gaps and unknowns

Missing equipment, labeling, repairs, unclear steps, or unanswered questions.
